Getting Started with the WAVV Power Dialer

This article will guide you through how to start using your Single Line Power Dialer.


Loading the Dialer



Step 1



Select the leads that you wish to load into your dialer. You can either select them individually by clicking the grey house icon to the left of the owners' name...



Or by clicking the checkmark icon at the top of your Vortex to select the entire list.



_*Note:_ We recommend not loading more than 1000 leads into the dialer at a time. If you need to shorten your list you can use the filter option "Record Limits" and make sure you select the check box and enter 1000 as the record limit.

Step 2



Click on the blue "Dial" icon in the top left of Vortex.



Step 3



Vortex will then ask you if you would like to "Start new session" or "Resume" your previous session. If you select Resume, it will continue the most recent list that you were calling. Selecting Start new session will load the dialer with the list that you selected in step 1.



Step 4



This will bring up a popup titled "Dial Settings". This is where you will choose which numbers the dialer will call. The left-hand section will allow you to adjust which call dispositions are included in your dial session. It will automatically include No Disposition, Voice Message, and No Answer. To change these simply check the box next to the ones you would like to include. Or unselect any you would like to exclude. The system is set to automatically exclude DNC numbers, mobile numbers, numbers called today, and agent numbers. If you would like more information on which numbers you are allowed to call, we recommend consulting your broker or checking your local laws. It is your responsibility to be compliant with the laws in your area.

You can also limit the amount of phone numbers that are dialed from each lead. To do this you will select the number that you want, and then click the check box. This is located in the "Miscellaneous" section.

Step 5



Next, click "Load Dialer" on the Dial settings page. Keep in mind the number of leads will differ from the number of phone numbers.

*Note: If this is your first time loading the dialer, you will be prompted to accept the WAVV terms of service.

Step 6



Then register your business with WAVV's Trust Hub.

Note**: You can skip this step to fill out later in the dialer settings or if you don't have your own business and EIN #.*



Step 7



Next, add your phone number to the dialer.



Step 8



It will then ask you how you want to connect to the dialer. We recommend using computer audio with a wired headset, however, this option only works best with a stable internet connection. The other options, "Call me at" and "Dial into WAVV" will connect your dialer with your personal phone number to make calls.



Step 9



Once connected, in the upper right-hand corner click on the gray Settings icon.



Step 10



The Dialer settings box will pop up and you can make any adjustments here.



Note**: You will only be able to select "1" under the Dialing Lines option, but you can upgrade to our Power Dialer Plus if you would like to call more than one number at a time.*

These are the dialer settings so they will not start your call session. If you have any questions about the different options, you can hover over the little blue "?" to the right of each option and it will have an explanation. Click on the "X" in the upper right-hand corner of the dialer settings box and it will auto-save your selections you have made.

Step 11



To start your calling session, you will click on the green "Dial" button in the top right corner of the page, and the dialer will begin calling through the leads that you have loaded in.



After clicking on Dial, you should see the information of the lead you are currently calling.




Lead Dispositions



Once you have started calling your leads, you will want to make sure that you are dispositioning each phone number. You will see this dropdown after you have called a number on a lead.



You can also open the disposition dropdown by clicking on the gray rotary phone icon to the right of the phone number as seen below.




Skipping or Deleting a Lead



You can also skip past and/or delete a lead by clicking on the right arrow or the trash can in the bottom right-hand corner of your dialer screen.



Depending on which Dialing Mode you have selected will affect how you move on to the next call. If you have "Advanced" selected, the dialer will automatically move on to the next number after the previous call has ended. However, if you have the "Standard" mode selected, you will have to click "Resume" after each call to move on to the next one.




Call Transferring



You can now transfer a connected call to another number, as well as merge calls to create a conference call between three people. Once the person answers your call, you will be able to select the transfer icon.



The dialer will then have you select the name or number of the person you would like to transfer them to. If you have not transferred a call to that number before, you can enter any valid number into the search bar.



You can then select whether you would like to do a "Cold Transfer" or a "Warm Transfer".

A cold transfer will automatically discount you from the contact and blind transfer them to the number you've selected.

A warm transfer will place the contact on hold while you dial the number you've selected the transfer them to. Once the number you are transferring to has picked up you can then merge it into a three-way call by clicking the "merge" button...



Or leave the conversation allowing your contact and the transfer number to continue their conversation.
